Privacy Policy

1. Who we are and what this policy covers
ParaFormPrep is software made by Info-Tech Delta Computer Inc. (“we”, “us”). Immigration law firms and registered immigration preparers (“firms and preparers”) use it to prepare U.S. Citizenship and Immigration Services (USCIS) forms from their clients’ documents. ParaFormPrep is not a law firm and does not give legal advice.
This policy covers paraformprep.com and the ParaFormPrep service. It applies to two groups of people:
- Users: the attorneys, paralegals, preparers and administrators who sign in to ParaFormPrep.
- Clients: the people whose immigration forms a firm or preparer prepares with ParaFormPrep.
For clients’ information, we act on behalf of the firm or preparer who serves them: the firm or preparer decides what to collect and why, and we process it to provide the service to them. Clients with questions about their case should contact their firm or preparer first.
2. Information we collect
| From | What | How |
|---|---|---|
| Users | Name (as signed on forms), work email, phone numbers, role, the firm or business they belong to; for preparers, their bond and state registration documents | Entered by the user or their firm when the account is set up |
| Users | Sign-in and activity records: what was done, when, and from which account (for example, a value confirmed or a form approved) | Recorded automatically by the service |
| Clients | Documents the firm or preparer uploads, such as passport pages, and the information read from them (name, date and place of birth, document numbers, nationality) | Uploaded by the firm or preparer |
| Clients | Information for immigration forms that the firm or preparer enters, such as addresses, phone numbers, email and immigration history | Entered by the firm or preparer, from what the client provides |
| Clients | The signed intake agreement: the text signed, the name typed, the language, the date and time, the IP address and the browser used | Recorded when the client signs |
| Clients | Mobile phone number and text-messaging consent (see section 4) | Given by the client to their firm or preparer, and confirmed on the signing page |
| Visitors to paraformprep.com | Standard web server logs: IP address, browser, pages requested, time | Recorded automatically by our hosting provider |
We don’t use advertising cookies or tracking pixels, and we don’t buy information about anyone.
3. How we use it
We use information only to provide ParaFormPrep to firms and preparers and to keep it secure:
- To prepare forms. Automated tools, including artificial intelligence (AI), read uploaded documents and suggest values for forms. A person (the firm’s or preparer’s staff) checks every value before it is used, and each value links back to where it came from in the document.
- To record consent and approvals. We keep the client’s signed intake agreement, and each attorney approval or preparer sign-off, as a record of who agreed to what and when.
- To send messages the client agreed to. Signing links and case updates by email or text message (see section 4).
- To run and protect the service. Signing users in, keeping each firm’s information separate from other firms’, investigating misuse, and keeping activity records that can’t be changed afterwards.
We don’t sell personal information, use it for advertising, or use clients’ documents to train AI models, and our AI provider doesn’t train its models on what we send it (Anthropic’s commercial terms).
4. Text messages (SMS)
ParaFormPrep, a service of Info-Tech Delta Computer Inc., sends text messages about the client’s immigration case, only to clients who agreed to receive texts from ParaFormPrep:
- The signing link. The preparer reads the client ParaFormPrep’s consent script in person, asking whether they agree to receive texts from ParaFormPrep, including a link to sign the intake agreement; the link is sent only if the client says yes.
- Case updates. On the signing page, the client can tick a box (not ticked in advance) to receive informational texts from ParaFormPrep about their case: reminders to sign, appointment reminders, notice that a form is ready to review and sign by hand, and requests for documents. This box is optional: a client who doesn’t tick it can still sign and is served without text messages.
Up to 20 messages per month. Message and data rates may apply. Reply HELP for help or STOP to stop receiving messages at any time. We never send marketing messages.
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Mobile numbers and consent records are used only to send the messages described here, through our text-messaging provider (section 5).
5. Who we share it with
Clients’ information is visible only to the firm or preparer serving them; one firm can never see another’s. We share information only with the service providers that run parts of ParaFormPrep for us, under contracts that limit their use of it to providing their service:
| Provider | What they do for us | What they receive |
|---|---|---|
| Amazon Web Services (AWS), United States | Hosting, encrypted storage of documents and data, sign-in, and sending email | All the information described in section 2 |
| Anthropic, United States | AI reading of uploaded documents | The document being read. Not used to train its models; kept by Anthropic for up to 30 days for safety review, then deleted |
| Twilio, United States | Sending text messages | The client’s mobile number and the message text |
We may also disclose information when the law requires it, for example in response to a valid court order, and we will tell the firm or preparer concerned unless the law forbids it.
6. Security, retention and your choices
Security. Information is encrypted in transit and at rest, each firm’s information is kept separate at the database level, users sign in with multi-factor authentication, and access and changes are logged. No system is perfectly secure; we will notify affected firms and preparers of a security incident as the law requires.
How long we keep it. We keep information while the firm or preparer uses ParaFormPrep, and then for 6 months after they stop using it, or longer where the law of the relevant state requires. Signed intake agreements and approval records are kept for 5 years, or longer where the law of the relevant state requires, as proof of consent. Website logs are kept for 365 days.
Your choices.
- Clients can ask their firm or preparer to see, correct or delete their information; we help the firm or preparer do so.
- Clients can stop text messages at any time by replying STOP, or by telling their firm or preparer.
- Users can update their details in ParaFormPrep, or write to us.
Children. ParaFormPrep is used by firms and preparers, not by children. Information about a child (for example, a child named in an immigration application) is provided by the child’s parent or guardian through their firm or preparer.
Cookies. We use only the cookies needed to keep users signed in, and remember display preferences (such as dark mode) in the browser. No advertising or analytics cookies.
Changes. We will post any change to this policy here with a new date, and tell users of significant changes.

7. California residents
California’s Consumer Privacy Act, as amended (CCPA/CPRA), applies to Info-Tech Delta Computer Inc. This section is the notice it requires.
What we collect, from whom, and why. The categories are in section 2: identifiers (name, email, phone, IP address), government identification and immigration information from documents (passport details, document numbers, nationality, immigration history), signatures and consent records, and website logs. We get them from users, from firms and preparers about their clients, and automatically from use of the service. We use them only for the purposes in section 3, and keep them as described in section 6.
Sensitive personal information. Passport and other document numbers, citizenship and immigration status are sensitive personal information under the CCPA. We use them only to provide the service the firm or preparer requested, not to infer characteristics about anyone.
Selling and sharing. We do not sell personal information or share it for cross-context behavioral advertising, and have not done so in the past 12 months. We disclose it only to the service providers in section 5, for the purposes there.
Your rights. California residents can ask to know what personal information we hold about them and how we use it, to get a copy, to correct it, and to delete it, subject to exceptions in the law (for example, records we must keep). We will not treat anyone differently for using these rights. For clients’ information, we act on behalf of the firm or preparer: we refer requests to them and help them respond.
How to ask. Email support@paraformprep.com or write to Info-Tech Delta Computer Inc., 3 Spackenkill Rd, Poughkeepsie, NY 12603. We will verify your identity by matching information we already hold before answering, and respond within 45 days (extendable once by 45 days, with notice). An authorized agent may ask on your behalf with your signed permission.
